v  Laboratories Maintenance Policy

  • The gas pipeline and burners undergo an annual inspection and are regularly monitored for any potential leakage. If any pipes or taps are found to be leaking, they are promptly replaced.
  • The electrician conducts regular checks on the exhaust fans in the laboratories to ensure proper functioning.
  • The distillation unit is subject to regular inspections to assess the condition of the coils. Any faulty coils are promptly replaced as needed.
  • Annually, the requirement for chemicals, glassware, and equipment is assessed and communicated to the Head of Department (HOD). The lab assistant is responsible for documenting this information.
  • The store maintains a register where issues related to repair and maintenance are recorded.

Responsibility

This responsibility falls under the purview of the respective Lab In-charge and Laboratory Technician.

Utilization Policy

  • The Laboratories are utilized according to the designated timetable.
  • The Lab in charge keeps a register of issued glassware and chemicals specific to each lab.
  • The Lab in charge is responsible for day-to-day maintenance tasks such as equipment calibration.
  • In order to use the Inter-Departmental laboratory, a written application stating the proposed work, equipment required, chemicals to be used, and duration of work must be submitted to the respective Head of Department (HOD).


 

 

v  Library Maintenance Policy:

  • All books are assigned accession numbers for easy identification and tracking.
  • Books are categorized by subject and stored in color-coded racks for efficient organization.
  • Old books are identified and properly bound to prevent further damage.

Responsibilities:

  • The Library In-charge and Assistant Librarian are responsible for implementing and maintaining the library maintenance policy.
  • The Library In-charge oversees the overall operations of the library and ensures that books are properly organized, maintained, and categorized.
  • The Assistant Librarian assists the Library In-charge in managing the day-to-day tasks, including shelving books, handling book requests, and maintaining records.

Utilization Policy:

  • Upon entering the library, visitors are required to register their details such as date, name, in-time, and out-time in a register.
  • To utilize library facilities, visitors must submit their library card to the library-in-charge when borrowing books.
  • Reference books have a one-day return policy, and visitors are required to submit their ID card as collateral when borrowing these books.

These policies and responsibilities aim to ensure the smooth functioning of the library, maintain the integrity of the book collection, and provide efficient services to library users.

 

v  Sports Facilities Maintenance Policy:

  • Any issues related to repair and maintenance of sports facilities are recorded in a register maintained by the store.
  • The register is regularly monitored, and necessary actions are taken to address the reported issues.

Responsibilities:

  • The Store In-charge is responsible for overseeing the maintenance and repair of sports facilities.
  • The Store In-charge monitors the register where issues are logged and ensures that appropriate actions are taken to resolve the reported problems.

Utilization Policy:

  • Students who wish to utilize sports equipment are required to enter their details in a register maintained by the store.
  • The Store In-charge then issues the requested sports equipment to the students.

These policies and responsibilities aim to ensure that the sports facilities are well-maintained and in proper working condition. By promptly addressing repair and maintenance issues and maintaining a record of equipment usage, the sports facilities can be efficiently utilized by the students.

v  Computer Room Maintenance Policy:

  • A computer technician conducts monthly checks on all computers, printers, and other systems in the institute to ensure their maintenance and proper functioning.
  • Monthly reports are generated based on the maintenance checks.
  • All computers are equipped with updated antivirus software to protect against threats and maintain security.
  • The internet connection is provided from a central server located in the IT department of SNPTIOP and is safeguarded by a firewall and router.

Responsibilities:

  • The Computer Technician is responsible for conducting maintenance checks on all computers and systems in the institute.
  • The Computer Technician ensures that software and systems are updated, and reports any issues to the appropriate authorities.


 

Utilization Policy:

  • Prior to using a computer, every student is required to make an entry in a register maintained by the computer in-charge.
  • To start a computer, students must enter the login ID and password provided by the institute.

These policies and responsibilities aim to ensure the proper maintenance and functioning of the computer room. Regular checks and updates by the computer technician help to identify and resolve any issues promptly. v  Classrooms Maintenance Policy:

  • Fans, lights, and electricity supply in the classrooms are checked at regular intervals to ensure they are functioning properly.
  • The classrooms are cleaned by a sweeper on a daily basis, and this cleaning activity is monitored by the office superintendent.
  • Lamps used in LCD projectors are replaced as needed to ensure proper functioning.
  • Any issues related to repair and maintenance are recorded in a register maintained by the store, which is regularly monitored, and necessary actions are taken to address the reported issues.

Responsibilities:

  • The Electrician is responsible for checking and maintaining the fans, lights, and electricity supply in the classrooms.
  • The Sweepers are responsible for daily cleaning of the classrooms and ensuring a clean and tidy environment.
  • The Office Superintendent monitors the cleaning activities and overall maintenance of the classrooms.

Utilization Policy:

  • Classrooms are to be utilized according to the timetable displayed on the notice board.
  • Students are allowed to enter the classroom 5 minutes before the scheduled lecture or academic activity.

These policies and responsibilities aim to ensure that the classrooms are well-maintained, clean, and in proper working condition. Regular checks and maintenance of fans, lights, and electricity supply contribute to a comfortable learning environment. v  Animal House Maintenance Policy:

  • Routine sterilization of husk and feed is carried out using an autoclave, ensuring the elimination of microorganisms.
  • Cages are disinfected and rinsed with hot water at a temperature of 80-90°C for one hour to maintain cleanliness and hygiene.
  • The animal house is regularly cleaned using detergents and disinfectants such as Dettol to ensure a clean environment.
  • Cages, water bottles, sipper nozzles, and stoppers are washed and sanitized with a sodium hypochlorite solution before placing animals in them.
  • Two air conditioners are installed in the animal house to maintain the appropriate temperature for the animals.
  • After animal experimentation, all biomedical waste and husk are collected in plastic bags to ensure proper disposal.

Responsibilities:

  • The Animal House In-charge is responsible for overseeing the maintenance and cleanliness of the animal house.
  • The Laboratory Assistant assists in the daily operations of the animal house and ensures that cleaning and sterilization procedures are carried out properly.

These measures and responsibilities aim to maintain a clean and hygienic environment in the animal house, ensuring the well-being of the animals and compliance with ethical standards. Regular sterilization, cleaning, and disinfection procedures help prevent the spread of diseases and maintain a suitable living condition for the animals. Proper disposal of biomedical waste ensures environmental safety.

v  Sophisticated Instruments

The responsibilities related to the maintenance and management of sophisticated instruments in a laboratory involve the following roles:

Head of Department (HOD): The HOD has overall responsibility for the laboratory and its operations. Their responsibilities may include:

  • Ensuring that the laboratory is equipped with the necessary sophisticated instruments.
  • Allocating resources for the maintenance and repair of instruments.
  • Overseeing the implementation of proper procedures and protocols for instrument usage and maintenance.
  • Approving the annual maintenance contract for sophisticated instruments.
  • Reviewing the log books and maintenance records to ensure compliance with standards and protocols.
  • Addressing any issues or concerns related to instrument maintenance or performance.

Lab In-charge:

The Lab In-charge is responsible for the day-to-day operations of the laboratory. Their responsibilities may include:

  • Ensuring that log books are maintained for all the instruments in the laboratory.
  • Coordinating with the laboratory assistant to schedule and perform regular maintenance of instruments.
  • Overseeing the implementation of the annual maintenance contract.
  • Ensuring that all instruments are calibrated and functioning properly.
  • Reporting any instrument malfunctions or issues to the HOD.
  • Training laboratory staff on proper instrument usage and maintenance procedures.
  • Ensuring compliance with safety protocols and regulations.

Laboratory Assistant:

The Laboratory Assistant supports the Lab In-charge in the maintenance and management of sophisticated instruments. Their responsibilities may include:

  • Assisting in the regular maintenance of instruments as per the schedule provided by the Lab In-charge.
  • Recording maintenance activities and observations in the log books.
  • Assisting in troubleshooting instrument issues and performing minor repairs.
  • Cleaning and organizing the laboratory space and instruments.
  • Assisting in instrument calibration and verification.
  • Notifying the Lab In-charge or HOD about any significant instrument malfunctions or abnormalities.

v  Building

  • An electrician and plumber are available daily to address any electricity and plumbing issues in the institute.
  • Fire extinguishers are refilled annually to ensure fire safety.
  • Additionally, fire prevention and life safety measures have been implemented throughout the institute.
  • The building is cleaned every day, and a team of sweepers is responsible for maintaining its cleanliness.
  • A generator with a capacity of 128 KW is installed on the institute premises to provide uninterrupted power supply.
  • Furthermore, a UPS (Uninterruptible Power Supply) system is installed to offer power backup to the instrumentation room, conference room, and seminar hall. The UPS batteries are replaced as needed.
  • The campus is protected by a concrete wall, and CCTV cameras are installed to enhance security and safety. The institute has entered into a security contract with Safe max Security Services, Pune, to ensure the overall safety and security of the campus.

Responsibilities:

  • Office Superintendent: Oversees the general operations and administration of the office and building.
  • Electrician: Responsible for handling electrical repairs, maintenance, and installations.
  • Plumber: Addresses plumbing issues, performs maintenance, and installs new plumbing systems as required.
  • Stores In-charge: Manages the inventory of supplies and equipment necessary for maintenance and repairs within the building.

v  Drinking water

  • The institute receives potable water from NMC (Nashik Municipal Corporation). Additionally, the institute has installed three water coolers equipped with AquaGuard™ water purifiers to provide purified drinking water.

v  Elevator

  • A dedicated Annual Maintenance Contract (AMC) is in place to ensure the smooth functioning of the elevator.

Responsibilities:

  • Office Superintendent: Oversees the overall management and operations of the office, including coordination with relevant departments for the maintenance and functionality of drinking water facilities and the elevator.
  • Stores In-charge: Responsible for procuring and managing supplies related to the water coolers, including replacement filters, spare parts, and any other necessary items.
  • Electrician: Ensures the proper functioning and maintenance of electrical components related to the water coolers and the elevator. This includes routine inspections, repairs, and coordination with the elevator maintenance team for any electrical-related issues.
